01What we collect
Only what the club actually needs to run:
- Your email address — your account, sign-in links, and the few emails we send.
- A display name and initials — what other members see.
- Your Discord ID and username, once you link it — so the bot can give you the member role and open your studio.
- What you upload and post — audio, titles, descriptions, notes, comments.
- Basic activity — play counts, when a track was uploaded, when you last signed in.
- Security data — IP address and browser, recorded with sign-ins and sign-in links to spot abuse.
- Billing status from Whop — whether you're trialing, active, or cancelled, and your renewal date.
02How we use it
To run the club and nothing else: signing you in, showing your music to members, letting people leave notes, unlocking Discord, keeping billing and access in sync, answering your emails, and keeping the place secure.
We don't sell your data. We don't rent it, trade it, or hand it to data brokers. We don't run ad tracking or advertising pixels on the site. There's no profile of you being built anywhere.
We may look at aggregate numbers — how many members, how many uploads — to understand whether the club is working. That's counting, not surveillance.
03Who else is involved
A handful of services make the club work. Each gets only what it needs:
- Whop — payments and subscriptions. They get your email and billing details.
- Discord — the community. They get whatever you do on Discord, under their own privacy policy.
- Resend — sends our email. They get your address and the message.
- Vultr — the server where the site, database, and audio live, in the United States.
- Google Fonts and a script CDN — serve the typefaces and one player library to your browser.
We'd hand over data if the law genuinely required it, and we'd tell you unless we were legally barred from doing so. If the club were ever sold or transferred, member data would move with it and you'd be told first.
04What other members can see
Inside the club, other members can see your display name, your tracks once they're finished processing, your track details, and the notes you leave. Your email address is never shown to other members.
Tracks you haven't finished uploading, and anything still processing, are visible only to you. Turning off notes on a track stops anyone but you from commenting on it.
06How long we keep things
- Your account and uploads — while you're a member, and for 60 days after a membership ends, then deleted.
- Sign-in links — minutes; they expire and are single use.
- Sessions — 30 days, or until you sign out.
- Email records — what we sent and whether it arrived, kept for troubleshooting.
- Billing events — kept as the paper trail between payments and access.
07Your rights
Email hello@magiccitysongclub.com from your account's address and we'll:
- Show you everything we hold about you;
- Correct anything wrong;
- Delete your account and uploads;
- Export your data in a readable format;
- Unlink Discord, which you can also do yourself in your profile.
We'll respond within 30 days. Depending on where you live, you may have additional rights under laws like the GDPR or CCPA — we'll honour those requests regardless of where you are, because the simplest policy is to treat everyone the same way.
We don't sell personal information, which makes the “do not sell” question easy to answer.
08How we protect it
The site runs over HTTPS. Audio is stored encrypted and streamed in chunks, so there's no downloadable file sitting behind a link. Passwords, if you set one, are stored as salted hashes — we can't read them. Repeated bad sign-in attempts lock an account temporarily, and changing a password signs out every other device.
No system is perfect. If a breach ever affected your data, we'd tell you promptly and plainly.
09Children
The club isn't for children under 13, and we don't knowingly collect their data. If you believe a child under 13 has an account, email us and we'll delete it.
10Changes and contact
If this policy changes in a way that matters, we'll email members before it takes effect. The date at the top always shows the current version.
